BirdLife Cyprus is one of the most active non-profit conservation organisations in Cyprus, focused on protecting wild birds, their habitats, and wider biodiversity through monitoring, conservation, and education work.

As a membership-driven organisation, BirdLife Cyprus offers members regular updates and optional publications like the Annual Bird Report, alongside other membership benefits.

Objectives

The primary objectives were:

  • Replace manual, spreadsheet-based membership tracking with a proper online system that can scale.
  • Make it easy for people in Cyprus and abroad to join and renew their membership online.
  •  Support multiple membership types (e.g., single/joint/family/junior, local vs overseas) and optional add-ons (like the Annual Bird Report).
  •  Provide a clean member area with subscription history and access to invoices/receipts.
  •  Reduce admin workload through automated confirmation and reminder emails.
  • Build an internal portal for staff operations (role-based access, internal announcements, structured reporting, and exports).

The Challenge

Key challenges included:

  • Complex membership options (different categories, overseas pricing rules, and optional extras) that were difficult to manage reliably in Excel.
  • Keeping the experience simple for members while still giving the BirdLife team the control they need for subscriptions, payments, renewals, and communications.
  •  Designing the renewal flow so that returning members can renew quickly (including cases where they may not remember login details).

  • New member sign-up with guided plan selection and optional add-ons.
  •  Smooth online payment flow and automated emails for confirmations and renewals.
  •  A member dashboard for subscription status/history, invoices, and profile management.
  •  Flexible renewal options, including renewal via a unique member number when needed.
  •  Admin tools to manage subscriptions, subscribers, invoices, and exports—plus internal portal functionality for staff workflows and announcements.
